Data protection notice, in accordance with Article 13 of EU Regulation 2016/679

In accordance with Article 13 of EU Regulation 2016/679 (henceforth GDPR) we hereby inform you that the personal information collected is processed, including by automated means, by EnginSoft SpA for navigation and interaction with the website of the project “SPACE CoE”; for participation in the SPACE CoE events and for sending communications about future events, initiatives, and activities by EnginSoft SpA and/or other SPACE CoE partners. “SPACE CoE - Scalable Parallel Astrophysical Codes for Exascale” is a Centre of Excellence, funded by the European Union, receiving funding from the European High Performance Computing Joint Undertaking (JU) and Belgium, Czech Republic, France, Germany, Greece, Italy, Norway, and Spain under grant agreement No 101093441.

1. Data Controller

EnginSoft SpA with its registered office in via della Stazione 21, Mattarello, Trento, in the person of the Data Protection Officer is the data controller of the personal data processing.

The data subject's personal data is processed by persons authorized by the data controllers and by data processors specifically appointed and instructed by EnginSoft SpA.

In addition, the data subject's personal information may be transferred to other data controllers with the specific consent of the data subject.

2. Personal Data Collected

The personal data collected includes: identifying, contact and personal information (name, surname, date of birth, email address, job title, institution, mobile phone number, identity document) and, eventually, the type of access to the events (as participant, exhibitor, organizer, speaker, etc…). The personal data is provided directly by the data subject party at the same time that they give their consent to its processing.

During the physical participation in an event, information relating to the access to the conference itself is collected (session, time of access, etc.). If the event is hybrid (physical attendance or participation via online streaming), it will be streamed live on a platform provided by the data controller or a partner of the data controller and will be visible only to event participants, sponsors, organizers, and speakers.

Please note that some events may be the subject of recordings and audio-video recordings. The data collected and processed during these events, including images, films, and audio-video recordings (hereinafter, the "images"), even in partial and/or modified or adapted form, will be treated in full compliance with the GDPR. The data will be processed, including by electronic means, by staff specifically appointed to carry out the dissemination and communication activities of EnginSoft SpA and/or other SPACE CoE partners.

The collected images will be stored, also using electronic means, by specifically appointed parties, to carry out the dissemination and communication activities of EnginSoft SpA and/or other SPACE CoE partners. The collected images will also be stored, including in electronic form and on any technological medium for the purposes and within the limits defined above, as well as on social networks (including but not limited to, Twitter, Instagram, YouTube by way of example).

3. Purposes of processing

The purpose of the processing of personal data is for the documentation and dissemination of the results achieved and any other activities related to the SPACE CoE project. The data provided will be processed solely for the purposes of documenting, talking about, disseminating the activities related to SPACE CoE project, including with images and videos collected during the participation to events and exhibitions.

Another purpose of the processing is for sending communications about EnginSoft SpA future events, initiatives, and activities and, if authorized by separate consent of the data subject, EnginSoft’s partners in SPACE CoE project.

The legal basis, the categories of personal data, and the relevant storage period for each of the purposes identified above are specified in the following table:

4. Retention period

Personal data collected for the purposes identified as n. 1, 2, 3, 4, 5 will be stored at least for 5 years after the project ‘s conclusion. Moreover, in accordance with Article 5 Section 1 (b) and (d) of the GDPR, personal data collected could be stored for longer periods. Personal data collected for the purpose 6 will be processed until interested to activities and news provided by EnginSoft SpA or until withdrawal of consent from the data subject.

Personal data collected for the purpose 7 could be transferred to other SPACE CoE partners during the project implementation.

5. Categories of recipients

In relation to the purposes indicated, the data may be transferred to companies and/or persons who provide services, including external services, on behalf of the data controller for the realization, promotion, communication and dissemination of the SPACE CoE project.

The data may also be shared to partners who contribute to the organization of the events and to the promoters. Photos and audio-video recordings may be disseminated on sites, institutions, brochures, and publications in paper and electronic format, as well as in magazines - including electronic - and other multimedia material.

The data you provide may be included in the institutional and SPACE CoE partners mailing platform, for the sending of newsletters and scientific magazines.

6. Nature of the data

The provision of data is voluntary.

The refusal to provide data involves the inability to register and therefore to participate in the event. If you do not wish to be the subject of audio-video filming and / or dissemination of images, you should not participate in the event.

The legal basis of the treatment is the consent expressed by the person concerned. This consent is expressed when filling out the registration form.

7. Rights of the data subject

The data subject, in relation to the personal data that is the subject of this notice, has the right to exercise the rights provided by the GDPR described below:

  1. Right of access of the data subject (Art. 15 of the GDPR): the right to be informed about the processing operations performed on one's personal data and, if necessary, to receive a copy thereof.
  2. Right to rectification of one's personal data (Art. 16 of the GDPR): the data subject has the right to rectify inaccurate personal data concerning him- or herself.
  3. Right to erasure of one's personal data with no undue delay (Art. 17 of the GDPR): the data subject has, and will have, the right to the erasure of their data ("right to be forgotten").
  4. Right to restriction of processing (Art. 18 of the GDPR): in the case of, inter alia, unlawful processing or contestation of the accuracy of personal data.
  5. Right to data portability (Art. 20 of the GDPR): the interested party may request their personal data in a structured format in order to transmit it to another owner, in the cases provided for by the same article.
  6. Right to object to the processing of their personal data Art. 21 of the GDPR): the data subject has, and will have, the right to object to the processing of their personal data.
  7. Right not to be subjected to automated decision-making processes (Art. 22 of the GDPR): the data subject has, and will have, the right not to be subjected to a decision based solely on automated processing.

EnginSoft SpA, in accordance with Article 19 of the GDPR, undertakes to inform any rectification or erasure of personal data or restriction of processing to the recipients to whom the personal data have been disclosed, unless this proves impossible or involves disproportionate effort.

With reference to the above-mentioned purposes, the data subject has the right, at any time, to delete or withdraw his/her consent to the processing of his/her identification and personal data by sending an email to: E-Mail

In accordance with Article 7 of the GDPR, withdraw of consent shall not affect the lawfulness of processing based on the consent before its withdrawal.

Pursuant to Art. 77 of the GDPR, the data subject who alleges that the processing of his/her personal data infringes the Regulation, or if the response to a request related to the rights listed above is not satisfactory, may apply to the judicial authority or to the Data Protection Authority, in the latter case by lodging a complaint according to the national procedures: www.garanteprivacy.it
